These Terms & Conditions (“Terms”) govern your use of the Hari Art Prize submission platform and your participation in The Hari Art Prize (“Prize”).

By creating an account, accessing the platform, or submitting an application, you confirm that you have read, understood, and agreed to these Terms.

The Hari Art Prize is presented by The Hari Hotel and A Space For Art (“Organisers”, “we”, “us”, “our”).

1. Eligibility

1.1 Entry is open only to applicants who meet the eligibility criteria stated on the official Prize website at the time of application.

1.2 For the London edition of the Prize, applicants must either:

  • have graduated within the last five years from a recognised UK art college; or

  • currently be studying at a recognised UK art college.

1.3 For the Hong Kong edition of the Prize, applicants must comply with the eligibility criteria published for that edition at the time of entry.

1.4 There are no age restrictions unless otherwise stated.

1.5 Employees, contractors, immediate family members, or representatives of the Organisers may not enter unless expressly permitted in writing.

1.6 The Organisers reserve the right to request proof of eligibility at any stage.

2. Application Process

2.1 Applications must be submitted through the official online platform before the published closing date.

2.2 Late, incomplete, corrupted, misleading, or fraudulent submissions may be disqualified at the Organisers’ sole discretion.

2.3 Applicants may submit a maximum of four (4) artworks unless otherwise stated.

2.4 All submitted information must be accurate and complete.

2.5 Applicants are responsible for ensuring uploaded files meet the technical specifications required by the platform.

3. Ownership of Artwork

3.1 Applicants retain full ownership and copyright of all submitted artworks.

3.2 By submitting an application, you confirm that:

  • you are the sole creator and rights holder of the submitted work; or

  • you have obtained all necessary permissions and rights required to submit the work.

3.3 You warrant that your submission does not infringe the intellectual property rights, moral rights, privacy rights, or any other rights of any third party.

4. Licence Granted to the Organisers

4.1 By entering the Prize, applicants grant the Organisers a worldwide, non-exclusive, royalty-free licence to:

  • reproduce submitted artworks;

  • publish images of the artworks;

  • use artist names, biographies, statements, and submitted materials;

  • display submissions online, in exhibitions, press materials, social media, catalogues, marketing communications, promotional campaigns, and editorial features relating to the Prize.

4.2 This licence is granted solely for purposes connected with:

  • administration of the Prize;

  • judging;

  • exhibitions;

  • publicity;

  • marketing and archival documentation relating to The Hari Art Prize.

4.3 Artists will be credited wherever reasonably practicable.

5. Shortlisting & Exhibition

5.1 Shortlisted artists may be invited to exhibit their work at a venue determined by the Organisers.

5.2 Shortlisted artists may be required to provide additional materials, framing specifications, delivery details, or exhibition-ready works within specified deadlines.

5.3 Failure to comply with exhibition requirements or deadlines may result in removal from the shortlist.

5.4 Artists remain responsible for ensuring artworks are available and suitable for exhibition.

6. Judging & Awards

6.1 All judging decisions are final.

6.2 The Organisers are under no obligation to provide feedback regarding unsuccessful applications.

6.3 Prize amounts, awards, exhibition opportunities, and timelines may be amended where reasonably necessary.

6.4 The Organisers reserve the right not to award prizes if, in the judges’ opinion, submissions do not meet the required standard.

7. User Accounts

7.1 Users are responsible for maintaining the confidentiality of their login credentials.

7.2 You are responsible for all activity occurring under your account.

7.3 The Organisers reserve the right to suspend or terminate accounts where:

  • false information has been provided;

  • abusive behaviour occurs;

  • these Terms are breached;

  • unlawful activity is suspected.

8. Acceptable Use

You agree not to:

  • upload unlawful, defamatory, abusive, obscene, discriminatory, or infringing content;

  • attempt to gain unauthorised access to the platform;

  • interfere with the operation or security of the website;

  • upload malicious software or harmful code;

  • impersonate another person or misrepresent your identity.

9. Data Protection & Privacy

9.1 Personal information submitted through the platform will be used for:

  • administration of the Prize;

  • communication with applicants;

  • judging and exhibition purposes;

  • promotional activity relating to the Prize.

9.2 By entering the Prize, you consent to the Organisers processing your data for these purposes.

9.3 Personal data will be handled in accordance with applicable UK data protection legislation and the Organisers’ Privacy Policy.

9.4 Applicants may request access to or deletion of their personal data subject to applicable legal obligations.

10. Platform Availability

10.1 The Organisers do not guarantee uninterrupted or error-free access to the website or submission platform.

10.2 The Organisers reserve the right to:

  • modify;

  • suspend;

  • withdraw; or

  • update
    the platform or Prize at any time without liability.

11. Liability

11.1 To the fullest extent permitted by law, the Organisers shall not be liable for:

  • technical failures;

  • lost or corrupted submissions;

  • website downtime;

  • delays;

  • indirect or consequential losses;

  • loss of opportunity or reputation.

11.2 Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud, or any liability which cannot legally be excluded.

12. Indemnity

You agree to indemnify and hold harmless the Organisers against any claims, losses, damages, liabilities, and costs arising from:

  • breach of these Terms;

  • infringement of third-party rights;

  • misuse of the platform;

  • unlawful submissions.

13. Changes to These Terms

The Organisers reserve the right to amend these Terms at any time.

Updated Terms will take effect immediately upon publication on the website.

14. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales.

Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
